Payment, Cancellation & Refund Policy

Mind Seeds Hypnotherapy is committed to providing all of our clients with exceptional care. We value your business and ask that you respect our business policies.

Payment Policy

All appointments must be paid for in full at the time of booking. Payment can be made over the phone or via bank transfer. If choosing bank transfer, payment details will be provided along with your intake form.

Please ensure your payment is received at least 48 hours prior to your scheduled appointment. Unpaid appointments will be cancelled if payment is not received by this deadline, and your booking will be forfeited.

Cancellation Policy

When a client cancels without giving enough notice, this prevenst another client from being seen. While we appreciate and understand that circumstances arise where clients may need to change or cancel their appointments, we have a strict cancellation and refund policy. When you make an appointment with Mind Seeds Hypnotherapy, you are accepting the terms of this policy.

Notice Period

If you provide notice of cancellation at least 24 hours before your scheduled appointment, you will be eligible for a refund of the session fee, minus a cancellation fee of 10% of your appointment fee.

Cancellations made less than 24 hours before your the scheduled appointment, as well as appointment no-shows, will not be eligible for a refund of the session fee. A cancellation fee equal to 100% of the appointment fee is charged.

Cancellation Fee

The cancellation fee covers administrative costs, pre-allocated practitioner time, and lost opportunity to accommodate other clients. The cancellation fee will be deducted from the session fee refund, if applicable.

Exceptions

In case of emergencies, illness, or other unforeseen circumstances, exceptions to the cancellation policy may be considered. Clients are encouraged to communicate any exceptional circumstances directly with Lyn for review and possible resolution.

Cancellation Process

To cancel your appointment, please notify Lyn via email or phone as soon as possible. In your cancellation request, please provide your name, appointment date and time, and the reason for cancellation. Cancellations will be considered valid only upon receipt of confirmation from Lyn.

Refund Policy

Grounds for Refunds

If you cancel your appointment within the eligible period (24 hours or more prior to your appointment0 and are entitled to a refund (minus a 10% cancellation fee), we will process the refund within 5 business days.

Refunds will be issued using the original payment method unless otherwise agreed upon.

Refunds may be offered based on the following conditions:

  • If a cancellation is made within the designated notice period, a full or partial refund may be granted.

  • If a cancellation is made outside the designated notice period, no refund will be provided.

  • Refunds may be subject to administrative fees or non-refundable deposit deductions.

  • If Lyn cancels a session, a full refund will be provided.

Rescheduling

Notice Period

Clients may be allowed to reschedule their appointments within a certain timeframe without incurring additional fees. The rescheduled appointment must be within 14 days from the original session date. Rescheduling requests made outside the specified timeframe may be subject to the cancellation policy.

Exceptions

Communication

Acknowledgement

Clients are responsible for reviewing and acknowledging the cancellation and refund policy before booking a session.

It is your responsibility to ensure that you attend your scheduled appointment, or provide sufficient notice to change or cancel your appointment to avoid a cancellation fee.

Fair and Reasonable

We believe that the 24 hour notice period provides a fair and reasonable opportunity for Mind Seeds Hypnotherapy to fill the cancelled session slot.

By enforcing this cancellation and refund policy, we aim to ensure fairness to both our clients and our small business.

We understand that emergencies and exceptional circumstances may occur, and we will assess such cases on an individual basis.

Guarantee Policy

Hypnotherapy, like psychology or counselling, falls under the banner of psychotherapy. It is illegal under Australian law to provide a guarantee of a therapeutic outcome. Therapy entered into with Mind Seeds Hypnotherapy is done so with the knowledge that positive results cannot be guaranteed, and that all deposits and payments for appointments are final and non-refundable regardless of the outcome.

Policy Updates

We reserve the right to modify or update this cancellation and refund policy at any time without prior notice.

It is your responsibility to review this policy periodically. Continued use of our services after any modifications constitutes acceptance of the updated policy.
